This policy is a general baseline. A signed client service agreement may contain additional or different billing and cancellation terms. When the two conflict, the signed agreement controls.
1. No long-term commitment
Unless a signed agreement states otherwise, MindSell services do not require a long-term commitment. Either party may end the relationship by written notice. Ending services does not cancel charges already earned, advertising-platform charges, or approved third-party costs already incurred.
2. Media spend is separate
Advertising media spend is paid by the client through the client's advertising account and is charged by the advertising platform, not MindSell. MindSell cannot refund, reverse, or guarantee credits for platform charges. Any platform billing dispute must be handled under that platform's policies.
3. When the agency fee is earned
Unless the signed agreement states otherwise, MindSell earns its agency fee only after a qualified in-home meeting actually takes place. All relevant decision-makers must be present, the homeowner must have expressed genuine intent to begin a project, and the project must meet the minimum scope agreed with the client before launch rather than being a minor repair or small service call. The final trade, service-area, project-scope, and attendance criteria are agreed in writing before launch.
4. No-shows and rescheduling
If the homeowner does not attend and the meeting does not occur, no agency fee is earned for that meeting. If the appointment is rescheduled, it becomes billable only after the rescheduled meeting takes place. A completed meeting remains billable even if it does not result in an estimate, contract, sale, revenue, or profit.
5. Duplicate or incorrect charges
If MindSell confirms a duplicate charge, arithmetic error, or charge for an appointment that did not meet the agreed billing criteria, we will issue an appropriate refund or account credit. Approved refunds are normally processed within 10 business days, although the receiving bank may take additional time.
6. Billing disputes
Clients must report a disputed appointment or billing error in writing within seven calendar days after the applicable invoice or billing notice. The notice should identify the appointment, the reason for the dispute, and any supporting information. We will review relevant call, message, scheduling, and attendance records in good faith.
7. Cancellation process
To cancel, send written notice to the email address below. We may pause campaigns promptly, but advertising platforms, scheduled communications, and third-party systems may require a reasonable processing period. The client remains responsible for media spend and approved costs incurred before the campaign is fully paused.
8. Non-refundable items
- Advertising-platform media spend and platform fees.
- Appointment fees already earned under the agreed criteria.
- Approved third-party costs already incurred for the client.
- Work or fees expressly stated as non-refundable in a signed agreement.
9. Changes to this policy
We may update this policy for future engagements. Changes do not retroactively alter an existing signed agreement unless both parties agree in writing.
